Ooma Office
Use Ooma Office's Virtual Receptionist to route inbound calls from your existing Ooma number to your Reflekt Legal assistant number. Ooma can't forward to an external number directly from the Virtual Receptionist — you first create an external destination (a Shared External Line or a virtual extension), then point an after-hours action at it.
Call flow: Main number → Virtual Receptionist → external destination → Reflekt Legal assistant number
Before You Start
Make sure you have:
- Your Reflekt Legal assistant number
- Ooma Office admin credentials for office.ooma.com
- A destination number that is US or Canada only — Ooma blocks international forwarding
- The Pro Plus plan if you plan to use a Shared External Line; otherwise use the virtual-extension method
Caller ID Requirement
When you test Ooma forwarding, confirm the forwarded call still shows the original caller's number to Reflekt Legal, not your main office number. See Set caller ID pass-through below.
Step 1: Create the external destination
Choose the method that matches your plan.
Pro Plus — Shared External Line
- Go to Settings → ADD menu → Shared External Line.
- Enter a name and the external number (your Reflekt Legal assistant number).
- Leave Required key press on answer unchecked if the destination is automated.
- Click Save.
You can have only one shared external line per account.
Essentials / Pro — Virtual extension
- Go to Settings → Users and add a user.
- Set the device type to External Device and enter the number.
- Click Save — the extension now forwards outbound.
Step 2: Create or open the Virtual Receptionist
- Go to Settings → extensions list and click the Virtual Receptionist row.
- Confirm the main number is assigned to this Virtual Receptionist under Phone Numbers.
If the number rings an extension or ring group directly, no schedule will apply.
Step 3: Build the schedule
- Open the Schedule tab.
- Select a day, then drag to cover open hours (15-minute increments).
- Repeat per day; multiple ranges are allowed per day.
- Unmarked time counts as after hours.
- Add closure dates — holidays default to the After Hours menu.
- Verify the Virtual Receptionist time zone matches the office.
Step 4: Set the after-hours action
- Open the After Hours/Holiday Actions tab.
- Select the shared external line or virtual extension from Step 1.
- Click Save.
Step 5: Set caller ID pass-through
- Go to Settings → Users → [extension] → gear icon → Call Handling.
- Under Caller ID, select the original caller's number.
- Click Save.
Step 6: Test Your Setup
- Call the main line during a closed window and confirm it lands at the Reflekt Legal assistant number.
- Confirm the destination sees the original caller's number, not the main line.
- If it shows all zeros, caller ID data was never received (this is not a toggle issue).
- If it shows the main line after Step 5, the carrier is rewriting it — open an Ooma ticket.
