Connect Reflekt Legal to NEOS by Assembly Software so your AI intake specialists can create intakes, look up cases, log calls, and route work to the right staff member automatically.

The integration authenticates as a dedicated staff profile in NEOS. Creating a separate profile (rather than reusing a person's login) keeps the integration's activity easy to audit and lets you grant only the permissions Reflekt Legal needs.

What the Staff Profile Enables

The staff profile you create grants Reflekt Legal permission to:

  • Create intakes — open new intakes from inbound calls and messages.
  • Look up cases — search existing cases and intakes to avoid duplicates and attach activity to the right matter.
  • Create call logs — write call summaries, transcripts, and notes back into NEOS.
  • Retrieve staff members — read the firm's staff list so calls and intakes can be assigned to the correct person.

Prerequisites

Before you begin, make sure you have:

  • Administrator access to NEOS (you need rights to add staff and edit security permissions).
  • An active Reflekt Legal account.
  • A name and email address to use for the integration profile (for example, Reflekt / [email protected]).

Step 1: Create the Staff Profile

  1. Sign in to NEOS as an administrator.
  2. Open Firm Settings → Staff (your firm's menu may label this Staff Management).
  3. Click Add Staff (or the + button).
  4. Enter the profile details:
    • Name: Reflekt
    • Email: the integration email address from your prerequisites
    • Status: Active
  5. Save the new profile.

Use a clearly named, dedicated profile such as Reflekt. This makes the integration's intakes, call logs, and case lookups easy to identify in NEOS activity history.

Step 2: Assign Permissions

Open the new staff profile's Security (permissions) settings and enable the following. NEOS groups permissions into granular Add / Modify / View / Delete toggles, so enable only the ones listed below.

Create intakes

  • Enable Intakes → Add so the profile can create new intakes.
  • Enable Intakes → View so it can confirm an intake was created.

Look up cases

  • Enable Cases → View so the profile can search and read existing cases and intakes.

Create call logs

  • Enable the Communications Tab permission for the profile.
  • Enable Communications → Add (Can Modify) so the profile can create and update call logs.

Retrieve staff members

  • Enable Staff → View so the profile can read the firm's staff list and assign work to the correct person.

Permission labels and menu paths can vary slightly by NEOS plan and firm configuration. If an exact label is missing, choose the closest Add / View option for that area, or contact Assembly Software support to confirm the equivalent permission.

Step 3: Save and Share Access

  1. Review the enabled permissions against the list above.
  2. Save the staff profile.
  3. Set a password for the profile and share the login credentials (the profile's email and password) with Reflekt Legal so the integration can sign in.

Treat the integration credentials like a password. Store them securely and only share them with Reflekt Legal through a secure channel.

Step 4: Verify

Confirm the staff profile has the access Reflekt Legal needs:

  1. Trigger a test intake from Reflekt Legal and confirm it appears in NEOS.
  2. Run a case lookup and confirm matching cases are returned.
  3. Confirm a test call log is written to the correct case.
  4. Confirm staff members are listed so calls and intakes can be assigned correctly.

If any step fails, recheck the permissions in Step 2 for the missing capability.
